Project Background


We Get Staffed (WGS) is a nurse staffing agency that provides highly qualified nursing personnel to LTC, SNF, and ALF facilities in Maine, USA. It takes pride in being the first nurse staffing agency in Maine to achieve certification from The Joint Commission. The agency is committed to becoming the preferred choice for local healthcare facilities seeking staffing solutions.

The WGS ecosystem has grown organically, and they are seeking to establish a structured framework to create a process-dependent organisation that enables their team to work efficiently and achieve desired outcomes. There is also an opportunity for expansion, necessitating the hiring and training of additional team members to meet the growing demands. They also utilise various platforms for different purposes and aim to design and comprehensively document their business systems to establish a unified source of truth for the WGS team. 

Recognising the need for structured systems to prevent future inefficiencies and to facilitate the training of new team members for continuous growth, the Founder realised the importance of implementing these changes.

While collaborating with the WGS team, we identified multiple departments, each with its own unique approach to task execution. Team members were adhering to outdated procedures, and the extensive documentation database posed challenges in terms of navigation. The organisation faced issues related to its tech stack, workflow management, staff coordination, and work delegation.

Given the dynamic business environment, it became imperative to adopt a flexible approach for onboarding new team members, including virtual assistants. Moreover, empowering existing team members to assume more substantial responsibilities while optimising client onboarding and management was crucial for enhancing overall efficiency and effectiveness.

The Momentum Systems team, in response to these challenges, developed a prioritised list of actions and collaborated with various departments to identify outdated systems and processes. Subsequently, we restructured and refined these processes to improve their efficiency. Our initial focus involved documenting the most critical processes, followed by a department-by-department approach to ensure each received a structured upgrade.

The actions undertaken by the Momentum Systems team included:

  • Extracting knowledge and documenting it comprehensively, ensuring that everyone could consistently perform tasks in accordance with the best practice standards defined by the business champions.
  • Distributing the project workload across the team, which allowed the business owner to allocate their time more efficiently.
  • Engaging all team members actively in the project, fostering team buy-in and promoting the sustained utilisation of the newly implemented systems.
  • Reorganising the existing processes into logical groups and implementing distinct access levels for different departments to access the information pertinent to their roles.
