Project Background


Herrman & Herrman is a law firm providing legal services to clients. As a successful business that has been operating in the US for 30 years, they have 7 offices across Texas and a large team of approximately 100 employees. The founder and leading attorney came to the realisation they needed some structured systems, which would allow him to spend more time with his family, looking towards his retirement. 

With the law firm administrator taking more and more responsibility in managing the team, systems and processes were needed to ensure consistency across all departments and multiple offices. 

Herrman & Herrman relies heavily on their successful marketing strategies to ensure community engagement and presence on the market, aiming to become the first go-to legal support for individuals experiencing personal injuries or vehicle accidents. 

Having a systemised marketing department allowed them to support their Marketing Manager to successfully delegate and manage the diverse team. Additionally, having a smooth and efficient client intake is essential especially when dealing with clients who have been through an accident.

Moreover, due to the dynamic business environment, multiple team members were able to take on more responsibilities and transition into more senior roles. This transition required the implementation of systems and processes to facilitate their smooth progression.

By implementing the learnings from the Momentum Systems project, the Herrman & Herrman team developed the consistency needed to deliver the best results.

While working with the firm, we discovered that there were multiple departments, each with its own distinct ways of doing tasks. Team members across various departments and offices were following outdated processes and procedures, and the vast database of documentation was challenging to navigate.

The business environment required a versatile approach to onboarding new team members, including virtual assistants. Additionally, it was essential to empower current team members to take on more responsible roles while streamlining client onboarding and management for greater efficiency and effectiveness.

Our Momentum Systems team created a list of priorities and collaborated with multiple departments to identify outdated systems and processes. We then re-organised and improved the structure of these processes to enhance their efficiency. We started by documenting the most critical processes. Once that was completed, we continued through the organization, department by department, ensuring each of them received a structured approach.

Here are the actions undertaken by the Momentum Systems team:

  • Extract knowledge and document it, ensuring that everyone else could perform the task consistently and up to the best practice standards set by the business champions.
  • The project load was distributed across the team, enabling the business owner to focus on critical strategic decisions.
  • Ensured all team members were actively involved in the project, fostering team buy-in and encouraging continued use of the systems.
  • We re-organised the current processes, grouping them logically, and implemented different access levels for separate departments to view the information they needed.
